STUDENT POLICY


ENROLLMENT
 

  • Enrollment with Ben Hyman Music is a Monthly Membership for weekly, in-home, private lessons. The number of lessons per month is automatically calculated based on the day of your weekly time slot.

 

  • Payment is Autopay via Credit or Debit Card (with an added 3% convenience fee), or ACH Direct Deposit with no added fees. You have the ability to update your payment info on your client profile at any time and can request to switch your payment method from Credit or Debit Card to ACH by writing to admin@benhymanmusic.com

 

  • First month’s invoice will be prorated based on your sign-up date and number of remaining lessons that month. Every month after will automatically bill on the 1st of the month and calculate the amount of lessons during that month.

 

  • There is a $25 annual registration fee per household (not per student). 

 

  • Memberships can be put on “Summer Hold” for any amount of time between the 3rd week of June until Labor Day. This will reserve a spot with your primary teacher for the following September, and your membership will resume at that time. Individual lessons can still be booked during the “Summer Hold” period (even if your Membership is on hold) and they will be billed separately. To place a summer hold on your membership, please write to admin@benhymanmusic.com

 

  • Any break in membership outside of the “Summer Hold” period will require a $50 re-enrollment fee if lessons are resumed at a later date.

 

  • To modify, place a hold, or cancel your membership, please submit a written request via email to admin@benhymanmusic.com with 14-days notice before the 1st of the next month. Without 14 days notice, your membership may be charged for the next month.
     

  • Memberships are non-refundable. They may be transferred to a student within the same household.

     

CANCELLATIONS & RESCHEDULING

 

  • Cancellations must be done online through our student portal.

    Please do not contact your teacher or admin for cancellations. (Only cancel a lesson if you and your teacher cannot find a different time that week to do your lesson. Only Teachers or Admin have the ability to reschedule in the system. Clients have the ability to Cancel and book make-ups.)

 

  • A make-up lesson credit will be issued when a lesson is canceled with at least 24-hour advance notice. This credit can be used for a lesson with your teacher or any other available teacher on our roster. Make-up lessons can be done in person or virtual/zoom.

 

  • Make-up credits expire after 60 days and no more than 3 make-up credits can be pending at a time per membership.  

 

  • Cancellations made with less than 24-hour notice will not qualify for a make-up lesson credit. (This includes a student being sick the day of the lesson. If a student is sick enough to alert the teacher, it can not be left up to the teacher to decide to come and teach a sick student or not. In these rare events, please cancel through Opus).
     

  • If your primary teacher is not available for your normal lesson slot, and you can’t figure a time to reschedule that week, we will arrange a substitute teacher from our roster. If you choose to decline a substitute, or an emergency/short notice cancellation was made by your teacher, you will be issued a “teacher make-up credit”. “Teacher make-up credits” do not count toward your subscription limit and DO NOT EXPIRE on active accounts. If your membership is inactive, this credit will expire in 30 days.

 

  • If you are having trouble scheduling a make-up lesson with your instructor due to THEIR availability, please email admin@benhymanmusic.com and we will schedule a substitute teacher for the make-up.

 

  • Make-up lessons cannot be rescheduled.


 

RELIGIOUS/FEDERAL HOLIDAY EXEMPTIONS
 

  • If a lesson is missed as a result of a Federal or Religious holiday, a student may request an exemption to the make-up policy. This is limited to 4 exemptions per school year. Cancellations made with less than 24 hour notice will not be eligible for exemptions and will not be eligible for a make-up credit.

 

  • Please contact admin@benhymanmusic.com to request these exemptions, and we will discount your next invoice by the amount of lesson exemptions taken. 


 

SUMMER POLICY

 

  • Memberships can be put on “Summer Hold” for any length of time starting the 3rd week of June until Labor Day. To place a summer hold on your membership, please write to admin@benhymanmusic.com

 

  • Individual lessons can still be purchased during the “Summer Hold” period, even if your Membership is on “Summer Hold”. Teacher availability is not guaranteed for individual lessons.


 

REFUNDS

 

  • Memberships are non-refundable.  They may be transferred to a student within the same household.


 

SAFE YOUTH PROTOCOLS AND PRIVACY

 

  • A parent or designated caregiver is required to be at home when lessons are given.

 

  • We value your privacy and most especially your child's safety. We will not give out your contact information to anyone outside of the company or take/release photos of your child without prior consent.
